Overview
CityAware is a municipal technology platform operated by BitSource LLC ("BitSource," "we," "us," or "our"), based at 375 Hambley Blvd, Pikeville, KY 41501. This privacy policy describes how we handle information collected through cityaware.com and through the municipal websites, booking systems, utilities portals, and other platforms we build and operate on behalf of our government clients ("Client Sites").
We take privacy seriously. We do not sell personal information. We do not use your data for advertising. The information we collect is used only to operate and improve the services you've requested.
Information we collect
We may collect the following types of information:
- Contact information — name, email address, phone number, title, and municipality name when you submit a contact or inquiry form on cityaware.com.
- Booking information — name, email, payment details, and reservation data when you use a CityAware-powered booking platform for an RV park, shelter, or city facility. Payment card data is processed by Stripe and never stored on our servers.
- Account data — username and credentials if you create an account on a Client Site (e.g., a utility customer portal or employment application system).
- Usage data — pages visited, referring URLs, browser type, and IP address, collected automatically via server logs and analytics tools for performance monitoring.
- Submitted content — job applications, uploaded documents, utility service requests, and other content you submit through Client Site forms.
How we use information
We use collected information to:
- Respond to inquiries and provide the services you've requested
- Process bookings and send confirmation or reminder communications
- Operate customer and staff portals for municipal clients
- Monitor platform performance, diagnose errors, and improve reliability
- Comply with legal obligations applicable to us or our municipal clients
We do not use your information for behavioral advertising, third-party marketing, or data brokerage of any kind.
Sharing of information
We do not sell personal information. We may share information in the following limited ways:
- Municipal clients — When you submit a form, booking, job application, or service request on a Client Site, the relevant municipal government receives that information to fulfill the requested service. That government entity is then the data controller for your submission.
- Service providers — We use a small number of third-party services to operate our platforms, including Stripe (payment processing), hosting providers, and email delivery services. These providers access only the data necessary to perform their function and are contractually bound to protect it.
- Legal requirements — We may disclose information if required by law, court order, or governmental authority, or to protect the rights and safety of our users and the public.
A note for municipal site visitors
Many pages on Client Sites are official government properties (e.g., city.gov domains). Those sites may be subject to state and local public records laws, open records requirements, and government transparency rules that govern what must be retained and what may be disclosed. If you have questions about how a specific municipal government handles your data, contact that government's clerk or records office directly.
Cookies and tracking
CityAware uses minimal first-party cookies for session management on authenticated portals. We do not use advertising cookies, cross-site tracking pixels, or third-party behavioral analytics. Our usage analytics are privacy-respecting and do not involve sharing data with advertising networks.
Security
We implement industry-standard security measures including HTTPS on all platforms, encrypted data storage, access controls, and regular security reviews. No method of transmission or storage is 100% secure. If you believe your data has been compromised, contact us immediately at the address below.
